Privacy notice -  Collecting and retaining personal information

The Learning Management System (LMS) supports the key outcomes of our Learning Framework and will allow us to support our people in the digital age. The LMS will result in the following outcomes:

  • a better enabled workforce with on-demand access to a broad range of learning
  • a platform which allows for the creation of in-house learning and knowledge by the Academy
  • a platform which will allow us to monitor and report on all learning activity.

What information do we collect?
 

Wheatley Housing Group is the 'controller' of the personal information you provide to us. This personal information consists of the following:

  • name
  • line manager
  • job role
  • job location
  • email address.

Why do we need this information?
 

We need to process your personal information so we can track your learning progress and allow reporting and monitoring so that we can ensure that the right packages are offered to the right people.The personal information collected through the LMS will enable the following:

  • improve the standard of learning through immediate feedback and evaluation
  • monitor attendance so that we can support learners to attend or complete learning
  • report to leaders across the Group on the impact of learning
  • understand our learner’s needs and to develop our offering to support learners needs.

We need this information because:

  • we are under a legal obligation to provide certain training to our employees, for example health & safety training.
  • in terms of our contract of employment with you we need to ensure you are trained in the appropriate aspects of your job.
  • you have a legitimate interest in accessing training and development available from the LMS for your own personal development. You may wish to undertake courses outwith your job remit.
  • our legitimate interest in assessing the training requirements of our workforce and in meeting those needs.

Who we share your personal information with?
 

Your personal information will be accessed by staff in the Wheatley Group Academy, Managers and Leaders within the Group and Learning Pool, our provider for the LMS, for the purposes set out in this privacy notice or for other purposes where approved by you or as otherwise permitted by law.  

Learning Pool will process your personal information on our behalf as ‘processors’ and are subject to written contractual conditions to only process that personal information under our instructions and to protect it.

Statistical information on learning undertaken within the Group will be shared with the Executive Team and Board.

No other third parties have access to your personal information unless the law allows them to do so.

How we protect your personal information?
 

Your personal information is stored on the Learning Pool servers based in the UK and is accessed by Wheatley Group or Learning Pool employees only for the purposes set out above.

How long we keep your information?
 

We will only keep your personal information for as long as necessary to facilitate the provision of your training and development through the LMS. In the event of you leaving Wheatley Group all your personal information held by Learning Pool will be transferred back to the Group and your LMS account will be deleted.

Should Learning Pool cease to be the provider of the Wheatley Group LMS all personal information in their possession will be returned to Wheatley Group or securely destroyed.

Your rights
 

You are entitled to request access to the personal information held about you.

Where any of the personal information we hold about you is inaccurate or incomplete, you have the right to request that such information is rectified.

You also have the right to request that we erase your personal information (subject to conditions) and the right to restrict and/or object to the processing your personal information by us.

If you are dissatisfied with our data processing activities, you have the right to complaint to the Information Commissioner's Office.

We fully endorse and strive to abide by the Principles of the Data Protection Act 1998 and the General Data Protection Regulation (EU) 2016/679 and adhere to our Data Protection Policy, as adopted by our Board.
