Privacy notice - surveys

The Wheatley Foundation will be carrying out a series of surveys to collect customer satisfaction feedback and capture the impact of our programmes. This information is being collected to help improve Foundation programmes in the future.

This work is being carried out by Rocket Science on behalf of Wheatley Foundation. For the purpose of data protection legislation, Wheatley Foundation is the data controller for the personal data processed for distributing this survey.  No personal data will be provided to Rocket Science.

The Wheatley Group and its subsidiaries is committed to protecting the information that you provide and recognise the importance of being clear about how we intend to use it.

Wheatley Foundation will process your personal information in order to send you the survey via text, email or by letter. You will not be asked to provide any personal information when completing the survey. Our Data Protection Officer is Ranald Brown who can be contacted on #wheatleydataprotectionofficer@wheatley-group.com.

This privacy notice explains how we may use the information you provide when you complete a survey.

Why we need your personal information – legitimate purposes
 

We process your personal information in pursuit of our legitimate interests to gauge satisfaction with our services and make improvements based on feedback. Your personal information will only be processed to send the survey to you.

Where we process your personal information in pursuit of our legitimate interests, you have the right to object to us using your personal information for the above purposes.

If you wish to object to any of the above processing, please contact us on InformationRequests@wheatley-group.com.  If we agree and comply with your objection, this may affect our ability to undertake the tasks above for your benefit.

How we intend to use your personal information
 

We will process your personal information to send you the survey. When you complete the survey we will not ask you for any personal information. If you would like to take part in a follow up interview, you should send this information to the email address provided and Rocket Science will get in touch with you. This information will be held by Rocket Science.

Other uses of your personal information
 

We may ask you if we can process your information for additional purposes. For example we may share your information with a language translation service if it is necessary to translate any information into or from a foreign language for you.

Who we share your personal information with
 

For the survey, we will not share any of your personal information. The anonymised survey information and any information from follow up interviews will be held by Rocket Science. Customers who want to take part in follow up interviews will share their information with Rocket Science direct.  Our contractors are required to comply with the law and our own Data Processing Agreement or Data Processing Clauses within our contracts to ensure data is managed appropriately and for specified purposes.

How we protect your personal information
 

Your personal information is stored on our paper and IT filing systems which may be copied for testing, backup, archiving and disaster recovery purposes. Access to your information is limited to those who require it to provide services to you. All data is held within the UK.

How long we keep your personal information
 

Once we have sent the survey to you, we will delete the personal information used to send the survey.

Your rights
 

You can exercise any of the following rights by writing to us at InformationRequests@wheatley-group.com

Your rights in relation to your personal information are:

  • you have a right to request access to the personal information that we hold about you by making a "subject access request”.
  • if you believe that any of your personal information is inaccurate or incomplete, you have a right to request that we correct or complete your personal information;
  • you have a right to request that we restrict the processing of your personal information for specific purposes; and
  • if you wish us to delete your personal information, you may request that we do so. However, this may not be possible beyond a certain point in the data processing, (e.g. once data had been fully anonymised and aggregated).

Any requests received by Wheatley Foundation will be considered under applicable UK Data Protection Legislation.  If you remain dissatisfied, you have a right to raise a complaint with the Information Commissioner's Office at www.ico.org.uk

The accuracy of our information is important to us - please help us keep our records updated by informing us of any changes to your personal information.
